HouseSigma — the highest-rated real estate app in Canada — is growing fast, and we’re hiring a Deal Administrator to help us build the next generation of consumer real-estate products powered by AI. This is a full-time, contract role with the flexibility to work from anywhere in Canada (Eastern Time Zone preferred).
About the role
The Deal Administrator is responsible for managing end-to-end real estate transactions, ensuring accuracy, compliance, and timely coordination across agents and stakeholders.
What you’ll do
– Process and manage real estate transactions — handle buying, listing, leasing, and builder deals across ON, BC, and AB; review documentation for accuracy and completeness prior to entry into LoneWolf; close deals, issue deposit receipts, and ensure all final trade documents are signed and properly filed.
– Manage financial transactions — process commission receipting, EFT payments to agents and co-operating brokerages, landlord payments, deposit returns, and prepare EFT files for upload to financial institutions.
– Coordinate invoicing and collections — send commission invoices to lawyers and co-operating brokerages and follow up on outstanding payments.
– Maintain transaction records — issue Trade Record Sheets and ensure all deal documentation is complete, signed, and properly filed.
– Support agent communication — respond promptly to agent inquiries and follow up on outstanding paperwork (listing agreements, deal documentation, etc.).
– Ensure compliance — review Agreements of Purchase and Sale, agency forms, and FINTRAC requirements to ensure regulatory compliance.
What we’re looking for
– 3–5 years of experience in real estate deal administration or brokerage operations.
– Experience processing real estate transactions including buying, selling, and leasing.
– Hands-on experience with LoneWolf or a similar real estate deal processing software.
– Strong understanding of real estate documentation including Agreements of Purchase and Sale and agency forms.
– Working knowledge of TRESA and FINTRAC requirements, with the ability to apply them in real estate transaction processing.
– Experience with commission processing, EFT payments, invoicing, and reconciliation.
– Proficiency with Adobe Acrobat and Google Workspace (Docs, Sheets, Drive).
– Strong attention to detail, organization, and time management skills.
– Clear and collaborative communication.
– Ability to manage multiple priorities in a fast-paced, remote environment.
Nice to have
– Experience working in a multi-province brokerage environment (ON, BC, AB).
– Familiarity with compliance tools such as Fintracker.
– Background in accounting, finance, or business administration.

Base salary range: $50,000 – $65,000 CAD per year (final offer will be determined based on skills and experience)
